Responding to an RFx is rarely a solo effort. Privata keeps the work coordinated with tasks, an auto-generated Agent Briefing, and real-time collaborative editing so your whole team can work the same opportunity at once.
Tasks
Every project workspace has a Tasks card that tracks the work needed to finish the response.
- Add task to create a task, assign it to a teammate, and give it a due date.
- Switch between Open and Closed tasks.
- When a task is assigned to someone, they receive an email notification so nothing is missed.
- You can link directly to a specific task, which is handy for sharing a to-do with a colleague.
Tasks the system creates for you
Some tasks are generated automatically so important gaps are never overlooked:
- The Project Readiness Review turns readiness gaps into tasks.
- The compliance check creates tasks for compliance gaps and items that need review.
- Your company's review policy (set in Company Profile Settings) can require specific reviews (legal, technical, and others) which appear as tasks on the assignee's list.
TIP
Assign a project's readiness and compliance tasks to the right owners early. Because those tasks come straight from the readiness and compliance checks, working them is the most direct path to a "ready to submit" verdict.
Agent Briefing
Each project includes an Agent Briefing card, auto-generated from your source documents. It summarizes what the AI has learned about the opportunity, such as response-length rules and submission requirements, so everyone on the team shares the same understanding before they start writing. The briefing is visible to all users on the project.
Real-Time Collaborative Editing
The Response Editor supports real-time collaboration. Multiple teammates can work in the same response at the same time, and you will see each other's cursors as you write. Changes save per section, so your team can divide up sections and work in parallel without overwriting each other.
Working Together on a Project
- Set a project's Visibility (Private, Public, or Joint) to control who can see and collaborate on it. See New Project.
- Use tasks to divide the response, pricing, and reviews across your team.
- Use the readiness review and compliance tasks as a shared checklist toward submission.
