This Privacy Policy explains how Privata collects, uses, stores, and discloses personal data and related information when you use Privata, the SkyPath AI documentation site, support channels, billing workflows, and related services (collectively, the "Service").
This Privacy Policy is intended to work alongside the Terms of Service and any separate order form, data processing agreement, or other written agreement. If you use the Service through a company, government entity, or other organization, that organization may control parts of your workspace data and may have its own internal privacy or records-management rules.
1. Scope
This Privacy Policy applies to information processed through:
- Privata accounts and authentication workflows
- Individual accounts and Corporate Workspaces
- uploaded documents, knowledgebase materials, websites added by URL, prompts, Secure Chat messages, and generated outputs
- billing, subscription, and seat-management workflows
- support requests, documentation pages, and operational communications
2. Information We Collect
Depending on how you use the Service, we may collect the following categories of information:
2.1 Account and Profile Information
- name, email address, and company or organization details
- account role, workspace membership, and seat assignment details
- authentication and account security data, such as login events or credential-related metadata
2.2 Billing and Transaction Information
- subscription plan, billing contact information, invoices, receipts, and transaction history
- limited payment-related metadata provided through our payment processors
2.3 Customer Content
- prompts, instructions, chat messages, uploaded files, source documents, collection documents, and websites added by URL
- project, collection, workspace, and document metadata
- outputs generated in response to your requested workflows, such as answers, proposals, summaries, presentations, search results, or images
2.4 Usage and Technical Information
- IP address, browser type, device details, operating system, and referral information
- service telemetry, operational logs, error reports, audit events, and security events
- feature usage information, storage metrics, token consumption, rate-limit usage, and related operational measurements
- cookie, local storage, or similar identifiers used for session continuity, preferences, and site functionality
2.5 Support and Communications Information
- messages you send through support forms or email
- attachments, screenshots, or other information you provide during a support request
3. How We Collect Information
We collect information:
- directly from you when you create an account, upload content, enter prompts, use Secure Chat, request support, or manage billing
- from your organization or Org Admin when your access is created or managed within a Corporate Workspace
- automatically through logs, telemetry, cookies, local storage, and similar technical mechanisms needed to operate and secure the Service
- from service providers and partners involved in authentication, billing, hosting, support, and related operations
4. How We Use Information
We use information we collect to:
- provide, host, secure, maintain, and improve the Service
- authenticate users and manage accounts, subscriptions, billing, and seat administration
- process Customer Content so we can index documents, retrieve knowledgebase materials, and generate requested outputs
- support Privata features including projects, collections, Q&A, proposal generation, Secure Chat, summarization, search, image generation, and presentation generation
- monitor performance, troubleshoot issues, detect abuse, enforce limits, and protect the security and integrity of the Service
- respond to support requests and send service-related communications
- comply with legal obligations, enforce our agreements, and protect our rights and users
We may also use aggregated or de-identified usage data that does not identify you or your users to operate, analyze, and improve the Service.
5. AI Processing and Data-Use Restrictions
Privata is designed to support privacy-focused, request-based AI workflows.
Subject to our Terms of Service and any separate written agreement:
- model calls are designed to be request-based rather than dependent on long-term model memory
- prompts and Customer Content are provided per request using controlled project and collection context
- we do not use your prompts, Customer Content, or Secure Chat history to train or fine-tune foundation models unless you separately and expressly agree in writing
- Secure Chat history may be stored in the application database to support continuity and account functionality
If we use third-party hosting, infrastructure, payment, communications, or AI-processing providers to operate the Service, they may process information on our behalf or under applicable contractual controls to deliver the functionality you request.
6. How We Share Information
We may disclose information in the following circumstances:
- Service providers and subprocessors. We may share information with vendors that support hosting, infrastructure, authentication, billing, support, security, communications, and requested AI functionality.
- Your organization. In a Corporate Workspace, Org Admins and the organization associated with the workspace may manage users, roles, projects, collections, and other organization-owned resources.
- Legal and compliance purposes. We may disclose information if required by law, subpoena, court order, sanctions requirement, or other legal process, or when reasonably necessary to protect the Service, our users, or our rights.
- Business transactions. Information may be disclosed as part of a merger, acquisition, financing, reorganization, or sale of assets, subject to appropriate confidentiality measures.
- De-identified and aggregated data. We may disclose information that has been aggregated or de-identified so that it does not identify you or your users.
We do not sell prompts, uploaded files, Secure Chat history, or other Customer Content to data brokers.
7. Retention and Deletion
We retain information for as long as reasonably necessary to provide the Service, meet contractual obligations, maintain security, resolve disputes, and comply with legal obligations.
Retention periods may vary by data type:
- account and workspace data are generally retained while the account or workspace remains active
- billing, invoice, and transaction records may be retained for accounting, tax, fraud-prevention, and legal purposes
- service logs, telemetry, and security records may be retained for operational, audit, and security needs
- Secure Chat history may be deleted when you delete a conversation or delete your account, subject to routine backups, fraud prevention, billing records, legal obligations, and reasonable operational retention
- if a user is removed from a Corporate Workspace, organization-owned projects, collections, and related resources may remain with the organization

8. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, disclosure, alteration, or destruction. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
You are responsible for maintaining the confidentiality of your credentials and for promptly notifying us if you believe your account has been compromised.
9. Your Choices and Privacy Rights
Depending on your relationship with the Service and applicable law, you may be able to:
- access, update, or correct account information
- request deletion of your account or certain personal data
- request a copy of certain information associated with your account
- object to or request restriction of certain processing where applicable law provides that right
If you use Privata through a Corporate Workspace, some requests may need to be handled through your organization or Org Admin first because the organization may control the workspace and associated records.
10. Cookies and Similar Technologies
We may use cookies, local storage, and similar technologies for:
- authentication and session continuity
- security and fraud prevention
- saving user preferences and documentation-site behavior
- service diagnostics, reliability, and limited analytics or telemetry
You can control some cookie behavior through your browser or device settings, but disabling these technologies may affect parts of the Service.
11. International Processing
The Service may be operated and supported from more than one jurisdiction. By using the Service, you understand that information may be processed in locations where Privata or its service providers operate, subject to applicable law and contractual protections.
If you require special transfer, residency, or sector-specific commitments, those terms must be separately agreed in writing.
12. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in the Service, legal requirements, or our data practices. If we make a material change, we will update the effective date and may provide additional notice through the Service or by other reasonable means.
