About AI Tools
The AI Tools available through the Project page and the Quick Actions toolbar are designed to help users move beyond basic response generation. These tools support day-to-day opportunity work by helping you create supporting collateral, search your document library, summarize long files, generate visuals, and research public contract opportunities.
Depending on the tool, you may work from a project, use one or more collections for context, or launch the tool directly from the Quick Actions toolbar. In general, the best results come from attaching focused collections that contain relevant product, service, company, pricing, or delivery information.
The available tools can help you:
- Create standalone presentations and proposal-style documents
- Generate supporting images and visuals such as architecture diagrams
- Summarize long documents into shorter outputs
- Search your Knowledgebase for relevant content
- Build company background or personnel profile documents
- Search SAM.gov opportunities and convert them into projects

Most AI tools work better when your collections are focused and up to date. Strong context improves the quality, relevance, and completeness of the generated output.
Presentation Generator
The Presentation Generator can be used to create standalone PowerPoint presentations or PDF proposal-style documents. It is available from the Quick Actions toolbar and can be used with a selected collection or with no collection at all.
When generating a presentation, the user can provide options such as:
- The collection to use as context, if any
- The number of slides
- Whether to include images, typically one per slide
- The presentation style: Professional, Technical, Executive, or Creative
- A written description of what the presentation should cover
This tool is useful for creating sales presentations, executive overviews, solution briefings, technical walkthroughs, and collateral for customer conversations.
If you switch the output format to PDF, the same tool can be used to create a proposal from scratch rather than responding to an uploaded RFP. In this workflow, provide a strong description of the proposal you want, choose PDF as the output format, and use Paragraph Style text generation.
TIP
Proposal-from-scratch generation works best when the tool is used from a project that already has well-built collections attached. Collections that include product material, statements of work, prior responses, and company background usually produce stronger proposal output.
Image Generator
The Image Generator creates an image from a user-provided prompt. It is a useful way to create supporting visuals for presentations, emails, proposals, and other customer-facing or internal materials.
Common use cases include:
- Architecture diagrams
- Concept visuals
- Solution illustrations
- Marketing or presentation imagery
- Supporting graphics for proposal content
The quality of the result depends on how clearly the prompt describes the image you want. Detailed prompts usually produce better output than short generic prompts.
WARNING
Generated images must be downloaded after creation. The system does not retain them for later retrieval.
Summarize Documents
Summarize Documents takes a document from a project and creates a shorter summary based on the number of paragraphs selected by the user. The source can be either a collection document or a source document from the project.
For example, a long Word document can be reduced to a short summary in just a few paragraphs, making it easier to review large documents quickly before using them in a response workflow.
Users can choose the summarization approach:
- Map-Reduce
- Refine
- Direct
Map-Reduce is the default and usually works best for larger documents. Refine and Direct are often better choices for smaller documents where the content can be handled more directly.
Summaries can be exported as:
- Word
- Text
TIP
Use Map-Reduce for longer documents and use Refine or Direct for smaller, more focused files when you want a simpler summarization path.
Document Content Search
Document Content Search scans your Knowledgebase for matching terms and returns a list of documents and locations where the search term appears. This makes it easier to find supporting evidence, reference material, or specific passages without manually opening many files.
This tool is especially useful when you need to:
- Find proof points for a response
- Locate product or service details
- Check whether a topic already exists in your library
- Retrieve a document to use as a reference or appendix
The search results allow users to re-download the matched file if it is needed for reference, reuse, or inclusion in other response materials.
Profile Background Generator
The Profile Background Generator creates company background documents or personnel profile documents. This is useful when an RFI or RFP requester wants information about the organization, key stakeholders, project leadership, technical staff, or similar supporting background material.
Typical use cases include:
- Company overviews
- Capability statements
- Executive or manager biographies
- Technical team backgrounds
- Key personnel write-ups for project proposals
This tool works best when the relevant collection material has already been added. Good supporting context may include resumes, company background documents, pricing sheets, capability summaries, or similar content that helps the AI ground the generated document correctly.
WARNING
Do not use this tool without relevant collection context if factual accuracy matters. Background and profile generation should be grounded in real supporting documents whenever possible.
SAM.gov Public Bid Search
SAM.gov Public Bid Search allows users to search open SAM.gov contract opportunities and turn promising results into new projects. This helps teams move from opportunity discovery into response planning without leaving the platform.
This feature is useful for:
- Finding public contract opportunities
- Reviewing bids that align with your capabilities
- Creating a project directly from an identified opportunity
- Starting the response workflow faster once an opportunity is selected
The public SAM.gov API has usage limits, so this feature is limited to 10 searches per day when using the default shared access path.
Details
Users who need more search capacity can add their own SAM.gov API key in their user profile. This is the recommended approach for users who rely heavily on public bid search as part of their daily workflow.
