Corporate User Management
The Users page is the administrative workspace for managing shared Corporate accounts in SkyPath. It allows organization administrators to review seat usage, invite users into the company workspace, manage user roles, resend pending invites, and remove users when needed.
This page is intended for corporate account administration rather than normal day-to-day response work. It is where the organization controls who can access the shared workspace and how available license seats are used.
INFO
The Users page is centered on corporate workspace administration. It does not manage projects or collections directly, but it determines which people can access and collaborate inside the organization.
Page Overview
At the top of the page, the system shows the company name and a Buy Seats button that links to the Billing page.
The page also displays three seat counters:
- Total Seats
- Used Seats
- Available Seats
These counters help organization administrators understand whether they can invite additional users immediately or whether more seats need to be purchased first.
Buying and Managing Seats
Corporate access is controlled by seat availability. A user can only be invited when an open seat is available.
If no seats are available, the Users page shows a warning that additional seats must be purchased on the Billing page before more users can be invited.
TIP
Review seat availability before sending invites. If your organization expects new users to join soon, purchase seats first so invitation and onboarding can happen without delay.
Inviting a User
The Invite User section is used to add a new user into the organization.
To invite a user:
- Open the Users page.
- Confirm that at least one seat is available.
- Enter the destination email address in the invite field.
- Select Send Invite.
When an invite is created, the user can join the organization through:
- The invitation link sent to the destination email address
- A one-time use invite code that can be used during registration
This allows administrators to onboard users either through the email flow or by directly providing the code when needed.
Pending Invites
The Pending Invites section shows open invitations that have not yet been completed.
For each pending invite, the page shows:
- The invited email address
- The one-time invite code
- The date the invite was created
- A Resend action
The displayed invite code is useful when the organization administrator wants to provide the code directly to the user instead of relying only on the email invite.
If needed, the administrator can select Resend to send the invitation again.
TIP
If a user does not receive the invitation email, check the pending invite list and resend the invite. You can also provide the one-time code directly so the user can use it during registration.
Current Users
The Current Users section lists all users currently assigned to the corporate workspace.
For each user, the page shows:
- Email address
- Current role
- Available management actions
Roles are displayed as badges:
- Org Admin
- User
This table is the main place for reviewing who currently has access to the organization.
Promoting a User to Org Admin
Users with the standard User role can be elevated to Org Admin.
When a user is promoted to Org Admin, they gain corporate administration privileges, including the ability to:
- Invite other users
- Manage user roles
- Remove users
- Manage seat usage through the corporate administration workflow
To elevate a user:
- Find the user in the Current Users table.
- Select Make Org Admin.
Once promoted, the user is shown with the Org Admin badge.
Removing Org Admin Privileges
If a user no longer needs administrative access, their elevated privileges can be removed.
To remove Org Admin status:
- Find the user in the Current Users table.
- Select Remove Org Admin.
This changes the user back to the normal User role while keeping them in the organization.
WARNING
Org Admin access should be granted carefully. Administrators can invite users, manage roles, and control access to the shared workspace. Limit Org Admin privileges to trusted users who need those responsibilities.
Removing a User from the Organization
The Users page also allows an administrator to remove a user completely from the corporate account.
Selecting Remove opens a confirmation dialog before the removal is finalized. The confirmation message explains that removing the user will:
- Revoke the user’s login access immediately
- Permanently delete the user’s account and personal data
- Retain documents, projects, and collections created for the company and transfer them to the administrator performing the action
- Free one corporate seat
After confirmation, the user is removed from the organization and the seat becomes available for reuse.
DANGER
Removing a user is a destructive action. The page describes it as permanent and not reversible. Review the impact carefully before confirming removal.
Role and Action Limits
The page is designed so administrators do not manage their own role from the current user table. Administrative actions such as promotion, demotion, and removal are available for other users, not for the currently signed-in administrator row.
This helps prevent accidental self-removal or unintended role changes during user administration.
Best Practices for Corporate User Management
- Keep the number of Org Admin users limited to the people who actually manage the workspace
- Review pending invites regularly so unused invitations do not stay open longer than necessary
- Resend or share the invite code directly when a user does not receive the invite email
- Purchase seats before large onboarding events to avoid blocking new invites
- Remove access promptly when a user no longer needs access to the corporate workspace
What to Do Next
After managing users, the most common next steps are:
- Purchase additional seats on the Billing page if more users need access
- Guide invited users to registration or invite acceptance
- Review corporate projects and collections once new users are onboarded
